This form is for organisations wanting to use the CDN vans.

Terms and Conditions

  • VEHICLE POLICY

    The CDN van(s) are owned and administered by the Community Development Network Trust. It is available for use, to authorised persons or organisations as dictated by the Trust, subject to their acceptance of the conditions set out below. It is to be used primarily for:


    Transportation of children, youth and their families on CDN programmes/activities

    CDN employees for their daily work

    The transportation of people on community building activities


  • CONDITIONS OF USE

    1) The organisation will be charged for mileage at a rate of .85c +gst. This includes the cost of fuel as stated below


    2) The driver must hold a valid driver’s license and will be expected to produce this when gaining approval to drive the van. They must have written approval from CDN Trust management prior to driving as only approved drivers are permitted to drive the van.


    3) The driver must use the fuel card provided when refueling. The cost of fuel is covered in the per km contribution. The fuel card will be with the log book and the pin is 2368 (CDNT)


    4) The vehicle must not travel beyond the Canterbury Provincial Boundary unless a CDN Manager or CDN Senior Youth Worker gives prior permission.


    5) The maximum belted & seated capacity of the vehicle may not be exceeded.  (10 or 12 including driver depending on the vehicle)


    6) No smoking will be permitted in the vehicle. 


    7) No alcohol or drugs to be carried or consumed in the vehicle.


    8) No alcohol or drugs are to be consumed by the driver of the vehicle during usage period or within 24 hours of possession of the vehicle.


    9) Any minor mechanical problems with the vehicle should be noted in the log book and reported to a CDN staff member upon return of the vehicle.

    11) The driver is liable for any traffic infringement notices incurred.


    12) The driver shall ensure that all reasonable care is taken in handling and parking the vehicle and it is left securely locked when not in use. Failure to observe this clause in the event of theft makes the driver liable for any loss, excess or other costs payable as a result.

  • INSURANCE

    The vehicle is fully insured. The driver is responsible for paying any excess payable by CDN to the insurer, as a result of any claim made, arising out of use of the vehicle. If the vehicle is operated in a manner whereby the insurer disallows any claim, or it is operated outside the terms of use stipulated in this document, the driver shall be liable to pay for the full amount of damage. 

    CDN Trust will invoice the organisation for the full cost of loss or excess (in the event of a successful insurance claim) and it is the responsibility of the organisation to recover costs from the driver at the discretion of the organisation.


    Excesses are as follows:


    Glass claims Nil

    For each and every claim $500

    Additional excess when being driven by persons under 25 years of age $500

  • MAINTENANCE

    The driver must ensure that:


    The water in the radiator and battery of the vehicle is maintained at the correct level.

    The oil in the vehicle is maintained at the correct level.

    The tyres are maintained at the correct pressure.

    The vehicle is returned clean and tidy. 

    The vehicle is returned with over a quarter tank full. Use the fuel card provided when refuelling. The cost of fuel is covered in the per km contribution. 

    All mileage must be recorded in the logbook provided

    The organisation will be invoiced for any cleaning or repair charges resulting from use, misuse or negligence while the vehicle is in their care.

    Any damage or further cleaning required is reported to office@cdntrust.org.nz or 0274132250 immediately on return.

    All other vehicle maintenance is to be conducted by a Community Development Trust staff member.
